Sales

A CRM connected to the rest of your business

Leads, contacts, companies and deals sit on the same record as the quotes you sent and the jobs you delivered.

The problem

Your CRM knows the customer. It does not know the job.

Most CRMs stop at the sale. The quote lives in another tool, the job in a third, and nobody can see the full history without opening all of them. Follow-ups are missed because the information is spread out.

How Toolbase solves it

One customer record from enquiry to completed job

In Toolbase the CRM is the foundation of every other module. Open a contact and you see their deals, quotes, jobs, emails, appointments and notes in date order, with nothing to reconcile.

Capabilities

What you can do with CRM

  • Leads, contacts and companies

Keep people and the businesses they work for linked, so commercial accounts and households are both handled properly.

  • Multiple deals per contact

A repeat customer can have several deals open at once, each with its own quotes and pipeline stage.

  • Custom fields

Add the fields your business needs to any record and report on them later.

  • Activities and notes

Calls, meetings, notes and tasks are logged against the record so anyone can pick up where a colleague left off.

  • Emails and appointments

Emails and booked appointments appear in the same timeline as everything else.

  • Lead source on every record

Know where each customer came from, all the way through to the revenue they generated.

  • Assigned salesperson

Every lead and deal has an owner, so nothing sits unclaimed.

  • Pipelines

Run separate pipelines for different kinds of work, each with its own stages.

  • Historical activity

A complete, dated record of what happened and who did it.

Workflow example

A repeat customer calls about new work

  1. Find the contact

Search by name, phone or address and open the existing record.

  2. See the history

Past quotes, completed jobs and notes are already there.

  3. Open a new deal

Add a second deal without disturbing the first.

  4. Quote from the deal

The quote inherits the customer and site details.

  5. Win and deliver

The accepted quote becomes a job on the same record.

FAQ

CRM questions

Can I import my existing contacts?

Yes. Contacts, companies and leads can be imported from CSV, with your columns mapped to Toolbase fields.

Can one contact have more than one deal?

Yes. A contact or company can have any number of deals, each with its own stage, value and quotes.

Is the CRM a separate product?

No. CRM is a Toolbase module that shares its records with quoting, jobs, projects and reporting.
