CRM

When to replace your spreadsheets with one platform

Nearly every business starts with a spreadsheet, an inbox and a calendar. That is sensible. The trouble comes later, when a CRM is added for leads, a quoting tool for quotes, a job app for scheduling, and reporting is still done in the original spreadsheet.

Five signs you have outgrown the patchwork

  • The same details are typed more than once. Customer name into the CRM, again into the quote, again into the job.
  • Nobody trusts the numbers. Sales and operations report different figures for the same month.
  • Handover loses information. What was promised in the sale does not reach the people doing the work.
  • Reporting takes days. Month-end means exporting from several systems and reconciling them.
  • The owner is the integration. One person knows how it all fits together, and cannot take a holiday.

What one platform changes

When leads, quotes, jobs and costs share a single record, information is entered once and used everywhere. The lead becomes the quote. The quote becomes the job. The job's costs feed the profit report. Reporting stops being an exercise in collecting data and becomes a matter of looking at it.

How to move without disruption

You do not have to replace everything at once. A staged approach works better:

  • Start with customers and leads, so every enquiry is in one place.
  • Add quoting, using your existing price list.
  • Add jobs once quotes are flowing, so accepted work is scheduled from the same record.
  • Add job costing and reporting last, when there is data worth reporting on.

This is why Toolbase is modular. You turn on the modules you need and add others as you go. If you want to see what that would look like for your business, build your Toolbase or book a demo.
